Managing conversations: candidates, campaigns and archiving

Add candidates to your CRM straight from a chat, jump to the linked campaign, keep your inbox tidy with archiving, and sync messages to your ATS.

A conversation is more than a chat — from the Inbox you can add the person to your CRM, jump to the campaign that started the outreach, sync the exchange to your ATS, and archive threads you're done with.

Where to find it

  1. In the sidebar, click Inbox.

  2. Open a conversation. The header above the message thread holds all conversation actions.

The conversation header

  • Candidate name — if a LinkedIn profile is on file, the name is a link that opens the candidate's LinkedIn profile in a new tab.

  • Channel badge — shows where the conversation lives: LinkedIn, Recruiter, Sales Nav, WhatsApp or Email.

  • Status — a green dot means the chat is active; Declined marks a declined InMail; new chats that haven't been accepted yet are labelled accordingly.

  • Owner — the dashed box shows which team member's connected account owns this conversation (that's who replies are sent as).

  • Campaign chip — if the conversation belongs to a campaign, a chip with the campaign name appears. Click it to open that campaign directly.

Adding a candidate to your CRM

If the person isn't in your relations yet, you'll see an Add as Candidate button (and, for sales outreach, Add as Prospect) in the conversation header:

  1. Open the conversation.

  2. Click Add as Candidate.

  3. You'll see the confirmation Profile added as candidate, and the person appears in your Candidates list with the pipeline status New.

From there you can track them through your pipeline like any other candidate.

Marking as unread

Opening a conversation marks it as read automatically. If you want to come back to it later:

  1. Click the Mark as unread button in the conversation header.

  2. The conversation returns to the list with its unread indicator, and shows up again under the Unread filter.

Archiving conversations

Keep the Active tab focused on live conversations:

  1. Hover over a conversation in the list and click the small archive icon, or open the conversation and click Archive in the header.

  2. The conversation moves to the Archived tab.

  3. To bring it back, open the Archived tab and click Unarchive.

Archiving never deletes anything — the full message history stays intact.

💡 Tip: Archive conversations once a candidate is placed or has declined. Combined with the Awaiting reply filter, your Active tab becomes a true to-do list.

Syncing to your ATS

If your team has an ATS integration connected, a Sync to ATS button appears in the conversation header. Click it to push the conversation's messages to the candidate's record in your ATS, so the full communication trail lives in both systems.

FAQ

I don't see the Add as Candidate button. It only appears when the person isn't already a candidate in your CRM, and when NoRecruit has a profile on file for the conversation.

Can I assign a conversation to a different campaign? No — the campaign link is set by the campaign that started the outreach. Use the All projects filter to browse conversations per campaign, or Unassigned for conversations without one.
