How candidates enter your CRM

The three ways candidates get into your CRM — automatically from launched campaigns, from Inbox conversations, and by adding them manually.

Your Candidates list fills itself as you work: launching a campaign adds its profiles automatically, and you can add individual people from a conversation or by hand at any moment. Here are all three routes.

Where to find it

Candidates live under RelationsCandidates. They arrive there from Campaigns, from the Inbox, or via the Add Candidate button on the Candidates page itself.

1. Automatically from campaigns

When you launch a recruitment campaign, every profile you saved to that campaign is automatically added to your CRM as a candidate — no extra clicks needed.

  1. Build your campaign and save the profiles you want to reach.

  2. Launch the campaign.

  3. Within a few moments, the saved profiles appear on the Candidates page with pipeline status New.

The Campaigns column on the Candidates page shows which campaign(s) each candidate came from — click a badge to jump straight to that campaign.

💡 Tip: Sales and marketing campaigns work the same way, but their profiles are added as prospects (leads) instead — you'll find those on the Clients page under the People tab.

2. From the Inbox

When someone replies and the conversation gets going, you can add them to your CRM without leaving the Inbox:

  1. Open the conversation in the Inbox.

  2. In the conversation header, click the Add as Candidate icon button (hover to see the tooltip). There's also an Add as Prospect button if the person is a business lead rather than a candidate.

  3. The profile is added with pipeline status New.

  4. Once added, a View CRM profile icon appears in the same spot — click it to open their profile page.

3. Manually

For candidates who don't come from a campaign — a referral, someone from your own network, or a walk-in application:

  1. Go to RelationsCandidates and click Add Candidate.

  2. First, search for an existing profile by name, email, or LinkedIn URL. If the person is already in your workspace (for example from an earlier campaign), select them from the results — this links the existing profile instead of creating a duplicate.

  3. If nothing matches, click Create New Profile.

  4. Fill in the First name and Last name (required), and optionally Email, Phone, LinkedIn URL, and the starting Pipeline status.

  5. Click Add Candidate.

💡 Tip: Always search before creating. Linking an existing profile keeps campaign history, conversations, and activities attached to one single record.

What happens after a candidate is added

However they arrive, all candidates work the same way:

  • They appear in the Candidates table with a Pipeline status you can update as things progress (NewContactedIn conversationMeeting scheduledOfferPlaced, or On hold / Not a fit).

  • Their profile page collects contact info, documents, deals, tasks, notes, and activity history in one place.

  • Campaign outreach and replies keep flowing into their Recent Activities automatically.

FAQ

Can one person be both a candidate and a prospect? Yes. If you add someone as a candidate who is already a prospect (or vice versa), they simply become both — one profile, visible on both the Candidates page and the Clients → People tab.

I launched a campaign but don't see its profiles under Candidates yet. The sync runs in the background right after launch and normally takes only a few moments. Refresh the Candidates page; if profiles still don't appear, contact support.
