My Messaging Style — teach the AI your tone of voice

Set your personal messaging defaults — languages, salutations, tone of voice, rules, and example messages — that the AI uses to write outreach in your voice.

Your messaging style is your personal tone-of-voice profile. The AI uses it every time it writes an outreach message on your behalf, so candidates receive messages that sound like you — not like a template. These defaults are inherited by all your campaigns.

Where to find it

Go to Settings → Personal Settings and open the My Messaging Style tab.

Configuring your style

Work through the cards from top to bottom:

  1. Active Languages — the languages you write outreach messages in. Click Add language to add one. Every language you activate gets its own version of the fields below.

  2. Spoken Languages — languages you can reply in when candidates respond. If a candidate replies in a language you speak, the AI continues the conversation in that language.

  3. Salutations & Sign-off — how you greet recipients (for example "Hoi" or "Hi") and how you end your messages (for example "Groet, [je naam]" or "Cheers, [your name]"), per language.

  4. Tone of Voice — describe your preferred writing tone per language, for example "professionally informal, personal, and free from generic recruiter language".

  5. Message Goal Templates — create reusable message goals with Add goal template. In the campaign workflow builder you can then select a goal instead of retyping it for every message node.

  6. Message Rules — two layers:

    • Default Quality Rules — locked, system-enforced rules that guarantee message quality (no buzzwords, no passive closings, no invented links, and so on). Expand the panel to read them.

    • Your Additional Rules — add your own rules on top, for example "Always mention remote work option" or "Never discuss salary ranges".

  7. Example Messages — click Add example to paste messages that represent how you actually write. These examples teach the AI your writing voice — add 3-5 strong ones per language.

As soon as you change anything, a save bar appears at the bottom of the screen. Click Save Changes to apply, or Cancel to discard.

💡 Tip: Example messages are the most powerful training signal. Pick real messages that got replies, in your own words — the AI mimics their rhythm, length, and vocabulary.

What happens with active campaigns

If you have campaigns running, a warning appears at the top of the page: changes to your messaging style affect all future messages generated for those campaigns. Messages that are already written and scheduled are not rewritten.

FAQ

Is my messaging style shared with my team? No — it's personal. Each team member trains their own style, so messages sent from their accounts sound like them. Company-wide information (name, website, about us) lives in Team Settings → Company Info.

What's the difference between Active Languages and Spoken Languages? Active Languages are the languages you proactively write outreach in — each gets its own salutation, sign-off, and tone. Spoken Languages only tell the AI which languages it may switch to when a candidate replies in one of them.

Where do I set the message goal for a specific campaign? In the campaign workflow builder, on each message node. Goal templates you create here appear there as a dropdown.
